OFFICE MANAGER
Coordinate the administrative function of ICPS and provide secretarial support to the CEO and the
ICPS management team to ensure the smooth running of operations.
Key Responsibilities:
• Welcome and appropriately direct clients or visitors to ensure the highest level of service.
• Receive and screen telephone calls, determine priorities, forward them to the relevant
parties, and follow up on actions to ensure service efficiency.
• Manage the calendar of the CEO and the management team to ensure availability for all key
meetings at the scheduled times.
• Organize and coordinate meetings, conferences, travel arrangements, business trips, and
other related corporate events to ensure smooth execution.
• Provide full correspondence support, including routing of mail, preparation of reports and
meeting minutes, and drafting of responses when required.
• Maintain office equipment and workspace to ensure a professional appearance and proper
layout of the company (meeting rooms, offices, open spaces, waiting areas, kitchen, etc.).
• Act as the main point of contact for consultants, visitors, and external clients to deliver the
highest level of customer service.
• Monitor monthly expenses against the budget and take appropriate measures to ensure
cost-effective management..
• Coordinate all activities related to ICPS Board meetings, including members’ availability,
travel arrangements, videoconferences, hotel bookings, and logistics.
• Manage all logistics for consultants, including accommodation arrangements, transport and
onboarding assistance.
• Manage the work permit and visa application process to ensure timely approval and
compliance with procedures.
• Assist in the planning and coordination of internal and external audits, ensuring timely
preparation of documentation and support to auditors.
• Actively participate in the company’s Crisis Committee to support decision-making during
emergencies.
• Serve as a member of the Safety, Health and Sustainability Committee to ensure compliance
with occupational safety standards and promote employee well-being
• Manage relationships with the building landlord and service providers, coordinating
maintenance, air-conditioning servicing, and other interventions.
• Supervise and manage the cleaning team, including scheduling, performance monitoring,
and coordination with service providers.
Profile Requirements:
The ideal candidate will have:
• Holds a bachelor’s degree (Bac +3) in Business Administration, Management, or a related
field.
• Has at least five years of experience in Administration or a similar role.
• Is fluent in French and English, both written and spoken.
• Demonstrates strong communication, leadership, and organizational skills.
• Is customer-oriented, proactive, and able to manage multiple priorities efficiently.
• Pays great attention to detail and maintains a high level of integrity and discretion.
• Adapts easily to changing priorities and remains professional under pressure.
