Administrative Assistant

We are looking for a talented and passionate Administrative Assistant / Receptionist to join our team. In that position you will coordinate the administrative function of ICPS and provide secretarial support to the Senior Management Team for the smooth running of daily operations.

Detailed Description

• Organise and coordinate meetings, conferences, travel arrangements/ business trip or any other related business events to meet priorities and ensure smooth running of events;
• Coordinate business support requests, logistics, stationery, and procurement;
• Budget monitoring and take appropriate actions for smart cost management;
• Responsible for Occupational Permit applications/ Residence permit/ Visa applications and extensions;
• Greet and properly channel customers or visitors to ensure the best level of service standard;
• Receive and screen telephone calls, determine priority, escalate to the concerned parties, and follow up on actions to ensure efficiency of service;
• Coordinate taxi bookings, parking reservations, lunches, and cleaning/maintenance of offices.

Job Requirements
The ideal candidate will have:
• HSC or equivalent;;
• Certificate in Business Administration or any equivalent;
• Any additional qualification would be an advantage;
• At least 3 years’ work experience in Administration;
• Highly organised, proactive, results oriented, flexible, and ability to work under pressure;
• Strong communication, interpersonal and problem-solving skills;
• Fluent in English and French, both oral and written;
• Conversant with Microsoft Office.
